What we’re looking for
We are looking for a Payroll & HR Admin Advisor to join our team at Mary Hare. Working as part of a small HR team and reporting to the Head of HR, you will be responsible for providing Payroll and Pensions support to employees and managers across the Mary Hare school and its associated business units. This is a role critical to our operational capability.
You'll need to be competent in Payroll and Pensions practice as well as having a strong understanding of the key elements of HR Admin. Ideally you’ll bring a relevant payroll related qualification and support your HR knowledge by being qualified to CIPD level 3.
Responsibilities of the role are split into two distinct areas of competence:
i) Provision of payroll and pensions administration for Mary Hare School and Businesses.
ii) Administration of HR topics relating to the employee lifecycle, e.g. provision of employment contracts, change letters, employee records and HRIS admin as well as support of the school's single central record.
You’ll be part of a small but supportive team, so we all need to chip in when needed. As such the role holder will also supports the HR Advisors acting as the number two for operational HR cover required during absence and to assist with queries.
What the job entails
There's a big focus on accuracy and detail in this role due to the pay and pension responsibilities alone. That said, no two days are the same and you will also gain exposure to the full breadth of HR topics. Full details can be found in the job description (link provided below). Key responsibilities include but not limited to:
>Provide professional service provision and guidance to staff in all areas of payroll pensions and operational HR practice.
> To provide first class payroll processing, support of weekly & monthly paid employees, including part month and manual calculations when necessary while adhering to strict, scheduled time scales.
> To effectively process a variety of Salary Sacrifice, 3rd Party and Statutory payment & deduction options through payroll.
> To accurately compile reconciliations for Pension deductions.
> To ensure compliance with complex, diverse and ever changing corporate and statutory requirements through effective liaison with HR partners, line managers and external authorities.
> To provide effective, accurate, confidential and sensitive service to employees at all levels as well as outside bodies.
> To generate the accurate and timely submission of Year-End documents e,g, P60 and P11D
To generate accurate monthly posting reports for General Ledger colleagues and provide additional Ad-Hoc reporting as requested, supporting company MI requirements.
> To provide advice and guidance to staff on operational HR related queries.
> Working with the HR Advisor(S) to provide advice to managers and employees relating to occupational/statutory sickness, maternity/paternity/parental leave and annual leave entitlements.
> Responsible for all HR data entry, ensuring that HR records are up-to-date and compliant with GDPR.
> Process all documentation associated with employment changes and variations to contracts.
> Create and maintain all employee personnel files, ensuring archiving of leavers and cleansing of information held in line with the Data Protection Act and GDPR.
> Maintain the HR Database including sick absence reporting.
> Assist in maintain Single Central Register/deputise as required for HR Advisor responsible for SCR.
What you need to bring
To be successful in the role we think you’ll need the following:
> Proven competence in UK payroll and pensions administration.
> CIPP qualification/recognised payroll qualification or proven hands-on, experience in a similar role.
> Advanced knowledge of MS Word and Excel with strong payroll system aptitude.
> Strong operational understanding of current UK payroll legislation.
> Excellent organisational skills with ability to work to strict deadlines with a high degree of accuracy.
> Competent working in a busy, high volume payroll environment, supporting multiple administrative tasks with a flexible approach to supporting the payroll cycle.
> Consistently deliver high quality work within agreed time scales.
> Go the 'extra mile' in delivering best in class payroll service.
> High level of accuracy and attention to detail.
> Self-motivated and able to work alone without direction.
